This privacy notice explains how Cowcentric collects, uses, stores and shares personal information when you visit this website, contact the business, receive consultancy services, use an authorised website account or interact with the Cowcentric Facebook Page integration.

1. Who we are

Cowcentric Nutrition Consultancy (referred to as “Cowcentric”, “we”, “us” or “our”) is an independent dairy nutrition and herd consultancy based in Shropshire, United Kingdom. Cowcentric is the controller of personal information covered by this notice.

2. Information we collect

The information we process depends on how you interact with Cowcentric and may include:

  • Contact and enquiry information: your name, email address, telephone number, organisation or farm, subject and the contents of your message.
  • Client and professional information: business or farm details, correspondence, meeting notes, service requirements, records needed to deliver consultancy work and relevant billing or transaction records.
  • Website and security information: IP address, browser and device information, requested pages, dates and times, server/security logs and short-lived identifiers used to prevent spam or misuse.
  • Authorised website-account information: username, name, email address, role, permissions and activity associated with managing or publishing website content.
  • Facebook Page integration information: the Facebook Page ID and name, granted Page permissions, a Page access token, public Page post text and media, Facebook post IDs and permalinks, and operational import/publishing logs. Cowcentric does not receive or store your Facebook password.

Please do not include unnecessary special-category or highly sensitive personal information in an enquiry.

3. How we obtain information

We obtain information directly from you when you contact us, become a client or use an authorised account; automatically from the website and hosting infrastructure; from organisations or people involved in work you ask us to perform; and from Meta when an authorised Page administrator connects the Cowcentric Facebook Page. The importer only reads content made available through the connected Cowcentric Page and the permissions granted to the app.

4. How and why we use information

Importing from and publishing to the Cowcentric Facebook Page through Meta’s Graph API. Legitimate interests in managing Cowcentric’s own Page and communications, and contract where the integration supports an agreed service. Meta separately asks the Page administrator to authorise the app permissions.
Preventing spam, fraud, unauthorised access and technical abuse; diagnosing faults and keeping records of security events. Legitimate interests in protecting visitors, the business and its systems, and compliance with legal obligations.
Keeping financial, contractual and regulatory records or responding to lawful requests. Legal obligations, contract and legitimate interests in establishing or defending legal rights.

If we want to use personal information for a materially different purpose, we will provide further information and obtain consent where required.

5. Facebook and the Meta Graph API

The website uses the Meta Graph API to help authorised Cowcentric users import selected public Page posts into WordPress and publish website posts to the Cowcentric Facebook Page. When an administrator connects the integration, Meta returns Page details, granted permissions and a Page access token. The token is stored in a protected server-side file outside the public website directory and is used only for the connected Page functions.

The website records Facebook post IDs, permalinks and limited diagnostic information so it can confirm publication, prevent duplicate posts and troubleshoot failures. It does not use the integration to access private messages, a person’s private timeline, Facebook password or payment information.

You can withdraw the connection through Facebook’s Apps and Websites or Business Integrations settings, where available, or follow our Facebook Data Deletion Instructions.

6. Cookies and similar technologies

WordPress uses strictly necessary cookies for signed-in administrators, account security and essential site operation. The hosting platform may also use essential security controls. If Cloudflare Turnstile is enabled on the contact form, it processes technical signals to distinguish genuine visitors from automated abuse.

At the date of this notice, Cowcentric does not intentionally deploy advertising or behavioural-analytics cookies through its custom website code. The site loads its typefaces from Google Fonts, which means a visitor’s browser requests font files from Google and sends the technical information normally included in an internet request. If non-essential analytics, advertising or other tracking is added later, this notice and the site’s consent controls will be updated before that technology is used.

7. Who we share information with

We do not sell personal information. We may share only what is necessary with:

  • Hosting and email suppliers, including Krystal and its service infrastructure, to host the website, store data, maintain backups and deliver email.
  • Radian Consultancy, when providing authorised website hosting, maintenance, security and technical support.
  • Meta Platforms Ireland Limited, when the Facebook integration is authorised or content is published to or obtained from the connected Page.
  • Google, when a browser requests Google Fonts, and Cloudflare where its Turnstile security service is enabled.
  • Professional advisers, insurers, regulators, law-enforcement bodies or courts where reasonably necessary or legally required.
  • Other service providers acting on our instructions where needed to operate the business or provide an agreed service.

8. International transfers

Some technology suppliers, including Meta and Google, may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we expect the relevant provider or transfer to use an approved mechanism such as adequacy regulations or contractual safeguards. You may contact us for more information about the safeguards relevant to your information.

9. How long we keep information

We keep personal information only for as long as reasonably needed for the relevant purpose:

  • General enquiries are normally retained for up to 24 months after the last meaningful contact, unless they develop into a client relationship or need to be kept longer for a dispute.
  • Client, contractual and financial records may normally be retained for up to six years after the relationship or relevant accounting period, where needed for tax, legal or professional purposes.
  • Website and security logs are retained according to operational need and hosting settings, normally for no longer than 12 months unless an incident requires longer investigation. Custom anti-spam fingerprints and rate-limit identifiers generally expire within 30 minutes.
  • Authorised account records are kept while access is required and are reviewed or removed when access ends.
  • Facebook Page access tokens are kept until replaced, revoked or the integration is disconnected. Facebook post identifiers and operational logs are kept while needed to operate the integration, prevent duplicates or resolve faults.

We may keep limited information for longer when required by law or where necessary to establish, exercise or defend legal claims.

10. How we protect information

We use proportionate technical and organisational measures, including encrypted connections, access controls, administrator two-factor authentication, protected server-side credentials, software maintenance, security hardening, backups and anti-spam controls. No internet service can guarantee absolute security, but access is limited to people and suppliers who need it for an authorised purpose.

11. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete information or restrict how it is used;
  • object to processing based on legitimate interests or to direct marketing;
  • receive certain information in a portable format;
  • withdraw consent where processing relies on consent; and
  • complain to the Information Commissioner’s Office.

These rights are not absolute and exemptions may apply. To exercise a right, email mark@cowcentric.com. We may need enough information to confirm your identity and understand the request. We normally respond within one month.

12. External websites and social media

This website links to external websites and social-media services. Those organisations control their own services and privacy practices. A link does not make Cowcentric responsible for an external site’s handling of information, so please review the relevant provider’s privacy notice.

If you choose to contact Cowcentric through WhatsApp, WhatsApp and Meta process the account, device and message information needed to provide that service under their own terms and privacy notice.

13. Children’s information

The website and consultancy services are intended for business and professional audiences and are not directed at children. Please contact us if you believe a child has provided personal information without appropriate authority.

14. Changes and complaints

We review this notice when our services, suppliers or legal obligations change. The latest version and review date will always appear on this page.

If you have a concern, please contact us first so we can try to resolve it. You may also complain to the Information Commissioner’s Office, the UK supervisory authority.
